Privacy Policy
Red Arrow Live Last updated: 9 September 2026
Red Arrow Live ("we," "us") provides live sound and production services in Wisconsin. This policy explains what information we collect through redarrowlive.com, why we collect it, and who else sees it.
We wrote this in plain English on purpose. If anything here is unclear, email us and we'll explain it.
What we collect
When you book or request a quote
- Your name, email address, and phone number
- The name of the person or organization being billed
- Event date, venue name, and venue address
- Event details you give us: type of event, expected audience size, load-in time, stage access notes, power availability
- Technical details: your input list, channel count, instrumentation, monitor requirements, stage plot
When you pay
- The amount, date, and method of payment
- A reference number from our payment processor
We never see or store your full card number. Card and bank details are entered directly with our payment processors and never touch our systems. We receive only a confirmation that a payment succeeded and, for cards, the last four digits.
Automatically, when you use the site
- IP address, browser type, and pages visited
- Basic security and performance logs
We do not use advertising trackers and we do not sell anything about you.
Why we collect it
| What | Why |
|---|---|
| Name, email, phone | To confirm your booking and reach you about your event |
| Venue and event details | To plan crew, gear, and travel, and to show up at the right place |
| Technical / input list | To build the console session and patch before load-in |
| Payment records | To invoice you and keep accurate books, as tax law requires |
| Site logs | Security, and to keep the site working |
We use your information to deliver the service you booked and to run our business. We do not use it to advertise to you.
Who else sees your information
We use a small number of established services to run the business. Each sees only what it needs:
| Service | What it receives | What it's for |
|---|---|---|
| Stripe | Name, email, payment details you enter directly | Processing card and bank payments |
| Intuit / QuickBooks Online | Name, email, billing address, invoice line items, payment records | Invoicing and accounting |
| Google Workspace | Your name, email, event date, venue address | Calendar scheduling and our business email |
| Resend | Name, email, booking details | Sending your confirmation and reminder emails |
| Cloudflare | IP address, request data | DNS, security filtering, and site delivery |
| Render | Everything stored in our booking database | Hosting the site and database |
We do not sell your personal information, and we do not share it with anyone for their own marketing.
We may disclose information if the law requires it, or if it's necessary to protect someone's safety or our legal rights.
About our QuickBooks connection
Our booking system connects to our own QuickBooks Online company so that invoices and payments are recorded automatically.
- We read and write only our own accounting data — customers, estimates, invoices, items, and payments.
- The access credentials for that connection are encrypted at rest and are never shared with anyone.
- We do not use QuickBooks data for anything other than invoicing and accounting for your booking.
- We do not sell, license, or transfer QuickBooks data to any third party.
- You can ask us to remove your customer record from our QuickBooks company once we no longer need it for tax purposes (see below).
How long we keep it
- Financial records — invoices, payments, and the customer record attached to them: seven years, because tax law requires it.
- Booking and event details — including your input list and stage notes: three years after the event, so we can set up faster if you book again. Ask us and we'll delete them sooner.
- Quote requests that never became bookings: 12 months.
- Site security logs: 90 days.
When a retention period ends, we delete the information or strip it of anything that identifies you.
Security
- All traffic to and from the site is encrypted (HTTPS).
- Access credentials for our payment and accounting systems are encrypted where they're stored.
- Access to the booking system is limited to Red Arrow Live personnel who need it.
- We keep our software patched and our hosting provider maintains the underlying servers.
No system is perfectly secure. If a breach ever affects your information, we will tell you promptly and directly.
Your choices
You can ask us to:
- See what we hold about you
- Correct anything that's wrong
- Delete your information, except records we're required to keep for tax purposes
- Stop emailing you anything other than messages about a booking you've actually made
Email dfulton@redarrowlive.com and we'll respond within 30 days. We won't charge you and we won't make it difficult.
Children
Our services are sold to adults. We don't knowingly collect information from anyone under 18. If you believe a minor has given us information, email us and we'll delete it.
Changes
If we change this policy we'll update the date at the top. If a change materially affects how we handle your information, we'll email anyone with an active booking.
